Setting the Stage: The CONFAB FrameworkIn this series on meeting effectiveness, I'm using a simple framework called CONFAB:* Clarify your goals, purpose well stated.* Open engagement, keep all captivated.* Navigate the agenda well-prepared and clear.* Frame time wisely, keep efficiency near.* Annotate with visuals, ideas that last.* Bring key takeaways, action items cast.Last week we talked about the clarifying your purpose and this week we're focusing on Engagement.The Million-Dollar QuestionI often ask people in my training, "Does engagement start “during” or “before” the meeting?"The truth is, it starts LONG before! Pre-meeting prep is crucial.As Priya Parker says in "The Art of Gathering," “Gatherings crackle and flourish when real thought goes into them, when (often invisible) structure is baked into them, and when a host has the curiosity, willingness, and generosity of spirit to try.”Why Bother with EngagementLet's face it: meetings often get a bad rap. A 2022 study found that 58% of Americans would rather visit the doctor than attend a meeting!Disengagement leads to wasted time, lost productivity, and poor collaboration. Most people feel that meetings get in the way of their "real" work. How can we change that?Transformative Engagement StrategiesPreparation is Key: Don't wing it! Share the purpose and agenda in advance. Send pre-meeting prompts to get people thinking.Basic Structure and Clarity: A clear structure keeps everyone on track and feeling anchored. Structure helps people feel very anchored. People need some sort of guardrails and structureInteractive Elements: Think beyond cheesy icebreakers.* Play music at the beginning.* Do a one-word check-in.* Use visuals and collaborative tools.* Help visualize the discussion beyond just a "nebulous blob of people talking."Communication is Crucial: Always have key takeaways and action items after the meeting. Ask for feedback!It's Not About Fun...ExactlyRemember, engagement isn't just about keeping people awake. It's about fostering a sense of community, encouraging collaboration, and helping people make better decisions.And now for a little humor... Thomas Sowell said, "People who enjoy meetings should not be in charge of anything."I don't particularly “enjoy” meetings either!
