Does your online business have systems in place? By systems, I mean either a workflow or standard operation procedures (SOPs). These are really step-by-step guides to how you get your stuff done. How could your online business benefit from systems? When you walk through all the steps you take to get your tasks done, it will help you to find areas of opportunity that you can improve on. Writing out or documenting your step will allow you to streamline the process. If you're a one-man show, it will allow you to quickly and easily transition tasks to a virtual assistant. How do you start creating systems Couple of ways to begin: Either: Create an exhaustive list of items you complete in your business. Or: Track everything that you work on during a week. One of the first things I have my clients do is track what they are doing during the workday. Pick One… After you have a list, pick one that you'd like to begin with and brainstorm all the action items that are completed to get to the finish line. Or if you're a doer, as you are working through the process, track every step that you take. What to know the easiest way? Of course, you do; record your screen as you work. You get a two-for-one. You can have the video transcribed and put into a workflow, and your team member can watch you as you do the work. Can you say perfect training material for a new team member? (: Evaluate The Process Did you have any issues with your current process? Could you make the process better by streamlining or automation? Lay It Out… Begin to lay out the step and determine who should be completing them. Remember that as a business owner, just because you can do something DON'T mean that you should. Write it Out… When I set up SOPs for my customers, I put them in Google Documents with a Table of Content. This makes them easy to share. Put It In… Create a template for your Project Management System. If you do not have a project management system – get one. I use Clickup and LOVE it. But you also have Asana, Teamwork, MeisterTask, or Trello, to name my most preferred. Test It… Once you have it all laid out, test the process and adjust the process. This is a living document, and it's essential to tweak it as your business grows and changes.
